Event Planning & Event Day-Of Management Package Details


This package is designed for clients who want hands-on planning support combined with professional event-day execution. From logistics and vendor coordination to guest experience and timeline management, we ensure your event is organized, seamless, and stress-free from start to finish.                                                     

 

Planning & Communication

  • Unlimited Client Communication
    Unlimited contact via phone calls, text messages, emails, and video meetings throughout the planning process.
     
  • Three Face-to-Face Meetings
    In-person or virtual meetings, including one venue walk-through to fully understand the venue, logistics, and your event vision.
     
  • Venue Walk-Through & Logistics Review
    Detailed review of event flow, setup, breakdown, and operational logistics.
     
  • Travel Policy for Venue Walk-Throughs
    For venues over 1.5 hours away, a Zoom walk-through is preferred. In-person walk-throughs are available upon request and subject to additional travel fees.
     

Vendor & Contract Management

  • Vendor Introductions & Meetings
    Meeting vendors in person, via video chat, or by phone to ensure clear communication and strong collaboration.
     
  • Unlimited Top-Tier Vendor Referrals
    Trusted recommendations tailored to your event needs.
     
  • Vendor Appointment Scheduling & Attendance
    Arranging and attending vendor meetings upon client request.
     
  • Accompaniment to Vendor Appointments
    In-person or virtual attendance at vendor meetings as requested.
     
  • Location, Venue & Vendor Contract Review
    Reviewing contracts to ensure clarity, requirements, and expectations.
     
  • Contract & Pricing Negotiation
    Assistance negotiating vendor and venue pricing and terms.
     
  • Invoice Review & Payment Approval
    Reviewing invoices and assisting with payment approvals.
     

Event Design & Guest Experience

  • Theme & Décor Concept Development Consultation (Additional Fee)
    Assistance developing a cohesive theme, décor concept, and event aesthetic.
     
  • Attire Assistance
    Support with dress attire needs as required.
     
  • Menu Tasting & Catering Assistance
    Coordinating tastings and assisting with menu selections and catering details.
     
  • Save-the-Dates, Invitations & Event Favors Assistance
    Guidance and coordination support for event stationery and favors.
     
  • Special Guest Accommodations
    Ensuring guests with special needs are properly accommodated.
     
  • Dietary Restrictions Management
    Confirming and communicating special dietary needs and requests.
     
  • Out-of-Town Guest Coordination
    Assisting with overnight accommodations and transportation arrangements.
     

Timeline & Logistics

  • Event Itinerary & Timeline Development
    Creating a detailed event timeline.
     
  • Final Timeline Distribution
    Distributing the finalized itinerary to all vendors to ensure everyone is aligned.
     

Event Day-Of Coordination

  • Five (5) Hours of Event Day Coordination
    Includes:
    • Event setup
    • Vendor coordination
    • Guest greeting
    • Seating organization
    • Gift and card acceptance and management
       

Venue Search Services (Included)

  • Scheduling and attending venue tours
     
  • Gathering venue rules, restrictions, and “do’s & don’ts”
     
  • Reviewing venue contracts and policies
     
  • Discussing available dates, times, setup and breakdown windows
     
  • Reviewing guest parking arrangements
     
  • Identifying venue fees, hidden fees, and deposit requirements
     
  • Communicating directly with venue managers or owners
     

If the client is out of town, venue tours can be conducted via live video chat when available.
